The purpose of a release form is to protect the company from any unwanted lawsuits or any other issues that the participant(s) may file against the company. That is why we need the guest(s) to sign a video release form so we can protect ourselves and have a written agreement that they agreed on participating in the video and that we own the footage and we can use it however we can.

Step 1. When the guest has accepted the invitation and confirmed their schedule, email the release form to them and ask them to sign it.
Include a short explanation on what it is about. If they didn't return it via email, the producer should ask them to sign a physical/hard copy during the shoot or a digital form via phone.

Step 2. Download the signed release form from Jotform.
The login details are inside general information passwords. If it is a physical/ hard copy release form, scan it using CamScanner (a phone scanner application) and upload the signed release forms in pCloud. Inside pCloud, go to Documents > Talent Release Forms folder and choose the appropriate folder (e.g., Off the Record Release Forms > Jan 12 2023) upload the talent/video release forms.

Step 1.
Film the production.
Step 2.
Once their segment has ended you may approach them with your phone at hand with the release forms ready to be filled up.
Step 3.
Explain to the guest what the release form is for. (The release form is essentially an agreement that the guest agrees for his/her video to be used and uploaded by the company)
Step 4.
Make sure to check that they have signed the release form!
